The role
We have an exciting opportunity for an organised and efficient Operations Support Manager to join our growing team in our office in Reading. The team are responsible for testing the security systems of our growing client base and, putting their security to the test and measuring resilience against any systems being compromised.
The purpose of the role is to support the team and ensure that the day to day operations within the business unit run smoothly and efficiently. The role has responsibility for office management, business reporting, health and safety, ISO management, administration and providing support to the SOC team operation to ensure full and efficient utilisation of processes and procedures.
Key responsibilities include:
  • Office management and Security:
  • Responsible for Office Management for the business premises
  • Ensure day to day office operation is managed effectively, including; welcoming visitors, handling post, managing office supplies, answering main phones and liaise with the landlord, if there are any issues.
  • Ensure all building access security procedures are adhered to.
  • Ensure Health and Safety procedures are adhered to: including; carrying out regular risk assessments, reporting any incidents in the accident reporting book, monitor first aid boxes.
  • Manage Fire related tasks, including; regular fire alarm testing and recording, fire marshal training, Fire Evacuation procedure, PAT Testing, Update Fire register for landlord.
  • Ensure all new employees and contractors complete relevant compliance Induction
  • Supporting the central finance team with all finance administration for the business unit, including raising sales orders and invoices where appropriate.
  • Assist with administration of internal compliance of ISO 9001, ISO 20000-1 and 27001 processes and policies. Reporting into the IMS Management team on key process metrics.
  • Security Operations Centre (SOC) Team Operational Support:
  • The collation of all weekly KPI’s across departments and produce weekly business and Board KPI report
  • Provide administrative support to the SOC Team when required
  • Provide the agenda for Departmental meetings, take minutes and distribute to the team with actions required.
  • Helping maintain the highest possible levels of customer service within the team.
Competencies required:
Essential
  • At least 4 years experience in an office management and business administration support role, ideally in a technology company.
  • Previous experience of working in an ISO 27001 and ISO 9001 workplace. Familiarity with ISO schemes and auditing.
  • Knowledge and experience of carrying out Health and Safety procedures and policies
  • Excellent MS Office skills (Word, Excel and PowerPoint)
  • Excellent communication and customer services skills
  • Organised, proactive and methodical approach
  • Ability to multi task and problem solve
  • Flexible and adaptable approach to be able to re-prioritise tasks where the business need requires.
  • Confident with handling sensitive information
  • Ability to work as a team player and independently
  • Confident, professional and ability to communicate effectively with all levels of the business
  • High attention to detail and an organised administrator
  • Show initiative and willingness to learn and get involved in other areas of the Company
  • Ability to meet tight deadlines
  • Willing to attend training to become a first aider
